Challenges:

• To reduce the time delay in processing an enquiry for special packaging through getting quotes for materials and special work and to creating the sales quotes. It was a paper-based system, which needed documents to be physically moved from one person / office to another, several times

• To reduce errors and to reduce time lost in getting information from another colleague

• To enable better management control by providing an instant view of the current state of play

• To increase the productivity of the whole team so that they could get more quotes out faster to handle extra business more easily

Solutions:

• Installed a personalised version of the Project system to allow all the details for all three stages to be shown on one screen. After each person has done their work they change the user name and it proceeds to the next person … instantly

• Integrated the emailing system so that it’s easy to prepare and send emails and to ensure that all relevant documents are filed with the relevant quote

• Set-up queries so that previous supplier quotes can be easily found

• Arranged for other members of staff to be trained so as to be able to cover in the event of absence, holidays etc

The overall results are:

- More quotes are being sent out and they’re going out earlier, probably saved three days out of our original seven to ten day turnaround

- We now know that quotes are being sent out for each enquiry received

- Its much easier for me to authorise a quote as all the information is available instantly

- The improvement in our success rate has been helped by the improved customer service that we are able to give and our suppliers like dealing with us because we are more professional in doing our job

- Our staff are better trained in how to use their computers and to get the best out of them

- Helping with delivery scheduling was just the ‘icing on the cake’
